Overview:
A leading global financial institution is seeking a detail-oriented and service-driven Travel Coordinator to join its Miami office. This role supports the planning, booking, and coordination of complex domestic and international business travel. The ideal candidate will demonstrate exceptional organizational skills, strong customer service, and the ability to thrive in a fast-paced environment. Portuguese/Spanish language skills are highly desirable.

Key Responsibilities:

  • Create and maintain comprehensive employee travel profiles (including ID details, preferences, frequent flier info, etc.)

  • Work directly with employees to quote and book all business travel, ensuring compliance with internal travel policy

  • Coordinate flights, hotels, rental cars, and ground transportation through Concur Solutions and external agencies

  • Compare pricing options across airlines and agencies for international travel

  • Document manager approvals for all bookings and track changes or cancellations

  • Maintain booking records, travel itineraries, and tracking spreadsheets

  • Manage corporate travel rewards programs and apply earned points to offset costs

  • Provide timely support for travel-related issues, including urgent changes or emergencies

  • Oversee relocation logistics for employees and families, including housing and pet arrangements

  • Coordinate visa documentation and liaise with third-party expeditor services

  • Communicate with global offices regarding employee visits and travel plans

  • Assist with corporate card reconciliation and month-end reporting

  • Support administrative duties such as procurement, event support, shipping, and backup reception tasks

Qualifications:

  • Minimum of 2 years of experience coordinating or booking business travel

  • Strong proficiency in Microsoft Office (Word, Excel, Outlook)

  • Proficiency in Sabre or Apollo

  • Excellent attention to detail and organizational skills

  • Proven ability to multitask and prioritize in a high-pressure environment

  • Strong interpersonal and communication skills with a service-oriented mindset

  • Ability to work independently while collaborating effectively with team members

  • Flexibility to handle after-hours and weekend travel emergencies

  • Experience with Concur Solutions preferred

  • Portuguese/Spanish fluency strongly preferred
